Billing Process

CACS services are billed monthly in arears. 

Billing emails are sent on or about the 9th of each month outlining the previous month's services and to which Work Tags those services will be charged.  Charges are submitted to the ITS Billing System against the listed Work Tags Monday preceding the third Friday of the month.  Charges will appear on the associated accounts on the third Friday of the month, unless an exception is made for a holiday.

Why did I receive a billing email?

CACS Projects are assigned a sponsor (someone who authorized the project/charges), a billing contact, and the CACS project manager.  Billing emails are sent to each of these contacts.

What if I need additional people to receive billing emails?

CACS Projects are assigned a sponsor (someone who authorized the project/charges), a billing contact, and the CACS project manager. Billing emails are sent to each of these contacts. If additional people should receive the emails, we recommend setting up forwarding rules in Outlook.  We are unable to add additional billing contacts.

What if I am no longer the correct billing contact?

Please notify the listed Project Manager and CACS Support ([email protected]) as soon as possible. It is helpful if you can provide a replacement contact. We will make the correction before the next billing cycle.

What if the Work Tags are incorrect?

Please notify the listed Project Manager and CACS Support ([email protected]) as soon as possible.  We will correct the Work Tags before billing is submitted to the ITS Billing System.

What if I have questions about my charges?

Work is billed on an hourly basis in quarter hour increments. Our current hourly rate can be found here.

We will be unable to provide an itemized invoice for labor hours. CACS performs work necessary to maintain your site and support the needs of your content managers.  Estimates can be provided prior to completing support requests, if desired. 

Proposals are estimates based on the information we have available at the time of writing.  Customers should not view a proposal as fixed cost contract.  While CACS will try to ensure your project remains within the estimate, some projects may exceed the estimate. We will attempt to notify the customer prior to incurring any overages.
